We understand how valuable your time is as a real estate agent in California so we designed our full Transaction Coordinator Service to help reduce the amount of time you spend on paperwork so you can focus your attention on your clients and your business. In addition, we help real estate agents in California who represent buyers with VA loans or FHA loans by working with the lender directly to ensure all requirements are met.

  • o Ensure all listing documents are collected and signed by all parties.

    o Send disclosures to the seller to review and fill out before going into escrow, as per agent approval.

    o Order NHD Report

    o Post “Just Listed” on social media

    o Review and submit for compliance approval

  • o Review new contracts and check for missing signatures or missing forms needed based on the type of transaction.

    o Review documents/disclosures and send them to the clients via docusign

    o Thorough review and remind agents of all deadlines and timelines for the transaction.

    o Send reminder emails of the important key dates.

    o Order home warranty, as applicable

    o Order NHD Report, as applicable

    o Send reminder email to agent to request AVID

    o File audits sent during the transaction to inform all parties what is outstanding from the file (2-3 file audits done through the course of the transaction)

  • o Make sure escrow provides wiring instructions to buyer for earnest money deposit.

    o Confirm escrow has received the earnest money deposit within the timeframe listed on the contract.

    o Confirm with escrow they have received back seller and buyer packages prior to the closing date.

    o Confirm that escrow has ordered HOA documents, if applicable.

    o Confirm seller vesting on preliminary title report matches what it is on the contract.

    o Confirm escrow is aware of any/all credits from the seller(s) and/or agent(s)

  • o Request any inspection reports needed for the file such as home inspection and termite inspection.

    o Request copies of reports from any other inspections that were completed and follow up as necessary.

  • o Ensure all documents are collected and signed by all parties.

    o Create transaction in broker compliance system (portal).

    o Upload all contract documents in broker compliance system.

    o Complete all forms/documents required by brokers.

    o Get commission instructions signed by broker.

  • o Verify lender received a copy of the contract.

    o Ensure the appraisal has been ordered.

    o Check in with lender to confirm the property is on track for the scheduled close of escrow date

  • o Post “Just Sold” on social media

    o January/February of following year send copy of final closing statement to client (agent is cc’d) for tax purposes.

    o Send agent copy of file via OneDrive, as applicable
