Already Have a Transaction Checklist? Here’s What a TC Adds
I recently spoke with someone who already had a clean filing system and an internal transaction checklist. They knew how they wanted their documents organized. They still wanted transaction coordination support.
That made sense to me. Having a system does not mean you want to be the person doing every follow-up and keeping track of every deadline.
If you already have a checklist, you may wonder what a transaction coordinator would actually add. The answer starts with the work that still needs to happen after you write the checklist.
Someone still has to follow up
A checklist can tell you that a signed document is needed. Someone still has to request it, track whether it came back, and follow up if it did not.
If you are the person checking for that document between appointments, the checklist is helping you stay organized, but the work is still yours. A TC can help carry those administrative steps so you do not have to keep checking the same open items.
Dates need attention as the file moves
Putting a deadline on a calendar is a good start. As the transaction moves forward, someone needs to keep watching those dates and the items tied to them.
Has the document been received? Are we waiting for a response? Does the agent need to make a decision before the next step can happen? Has a date changed?
A TC tracks the file and brings open items to your attention. You still handle the negotiations and the decisions that belong to you, with clearer information about what needs attention.
An organized folder still needs upkeep
A clean folder structure makes documents easier to find. Keeping that folder useful means making sure the signed documents are received, saved in the right place, and available when they are needed.
In that recent conversation, the person was clear about where they wanted their files stored. That was helpful. It gave us something specific to discuss as we worked through what support would look like.
When you talk with a TC, show them your checklist and filing process. Ask how documents will be shared, how often your folders will be updated, and where you can see current dates and open items. Those details are worth agreeing on before the first file.
You need to know what is holding things up
Sometimes the most useful update is a clear explanation of what we are waiting on and who needs to respond.
A TC can help track those open items and flag something that needs your attention. That gives you a place to start instead of having to search through an email thread to figure out the status.
Be clear about the help you want
Before hiring a transaction coordinator, look at your checklist and notice which tasks still pull you away from your clients. Are you repeatedly checking for signatures? Following up on missing documents? Keeping all the dates in your head?
Bring those examples to the conversation. Each TC has a defined scope of service, so it is important to confirm which tasks they handle, which stay with you, and how you will communicate.
You can be organized and still benefit from support. At Be Happy TC, we help agents track transaction deadlines, follow up on missing items, and keep their files organized. If you already have a system you like, reach out and let’s talk about the transaction support you need.
